Harwest International Business College ("Harwest College", "we", "us") respects the privacy of everyone who contacts us, applies to us or studies with us. This policy explains what we collect, why, and what you can ask us to do about it.
Information we collect
- Information you give us. Your name, contact details, date of birth, national identity or passport number, educational history, employment history and supporting documents, submitted through our enquiry forms, application forms or in person.
- Information created while you study. Attendance, assessment results, fee payments and correspondence with staff.
- Information collected automatically. When you visit hibc.edu.lk we record standard technical data such as IP address, browser type, pages viewed and the site you arrived from. See our Cookie Policy for detail.
Why we use it
- To answer your enquiry and process your application.
- To deliver your programme, record your results and issue your certificate.
- To verify a certificate when a third party asks us to, with your knowledge.
- To meet our obligations to awarding bodies, regulators and auditors.
- To tell you about programmes, events and offers — only where you have asked to hear from us, and with a way to stop at any time.
Who we share it with
We share personal information only where it is necessary:
- Awarding bodies and partner institutions, to register you for a qualification and to have it issued.
- Service providers who host our systems or send our email on our instructions, and who may not use your data for their own purposes.
- Authorities, where the law requires it.
We do not sell personal information, and we do not pass it to advertisers.
How long we keep it
Enquiry records are kept while they are useful and then deleted. Student academic records are kept indefinitely, because a qualification must remain verifiable long after a student has left. Financial records are kept for as long as accounting and tax rules require.
Keeping it safe
Access to student records is limited to staff who need it for their work. Our systems are protected by access control, encryption in transit and regular backups. No system is perfect, and we will tell affected people promptly if something goes wrong.
Your rights
Under the Personal Data Protection Act No. 9 of 2022 you may ask us to show you the personal data we hold about you, correct it if it is wrong, delete it where we are not required to keep it, or stop sending you marketing. Write to learn@hibc.edu.lk and we will respond within a reasonable period.
Children
Where an applicant is under 18, we ask for a parent or guardian to be involved in the application and we accept their consent for the processing described here.
Changes
If we change this policy we will update the date shown at the top of this page. Material changes affecting current students will also be communicated directly.
